FermiMail: Shared Mailbox in Outlook and Webmail

 

Intended for:

Users who need to access a shared mailbox.

 


Scenario/Use case:

This article provides instructions on how to access a shared mailbox using Outlook and Webmail.

 


Instructions:


Outlook on Windows

  1. On the menu, select File.



  2. Select Account Settings and then Account Settings again.



  3. Click Change…



  4. Click More Settings.



  5. In the Microsoft Exchange window, click the "Advanced" tab and then click Add…



  6. Enter the email address of the shared email and then click OK.



  7. Click OK.



  8. Click Next.



  9. Click Done.



  10. Click Closed.

 


Outlook on macOS

  1. Click "Tools" from the menu and select Accounts.



  2. In the "Accounts" window, make sure your account is selected on the left and click Advanced.



  3. In the next window, select "Delegates" and then in the lower section marked "Open these additional mailboxes", click the + button.



  4. Start entering the email address of the shared mailbox, select it, and then click Add.



  5. In the next window, click OK.



  6. You can now close the "Accounts" window.

 


Webmail

  1. Navigate your web browser to https://email.fnal.gov.
  2. Login with your Services account, password, and then click Sign On.



    NOTE: If you are offsite and not connected to Fermilab's VPN, you may be prompted to provide an RSA passcode as part of the "Two-Factor Authentication" requirement. Enter your passcode and click OK.



  3. In the upper right corner of Outlook Webmail window, click on your user icon.



  4. Click Open another mailbox.



  5. Enter the email address of the shared email and then click Open.
