FermiMail: Windows - Configuring Outlook
Intended for:
Windows PC users who need to configure Outlook to access their Fermilab email.
Scenario/Use case:
These instructions have multiple sections and you will be guided to the appropriate one's as you go through the instructions. In case you know what you are looking for, here are the sections.
- Launch Outlook. You should be presented with the "Set Up Your Email" wizard. If not, please proceed to the Manual Setup section. The wizard may list your email address but it must be in the following format [username]@services.fnal.gov. Click Connect button.
- If this process is successful, you will be taken to Fermilab's Single-Sign-On (SSO) page. If so, proceed to the Authentication section.
If you presented with the Advanced setup screen, proceed to the Select Provider section.

- Launch Outlook and go to the "File" menu and select "Accounts".
- In the Account window, select "Add Email Account" and then proceed to the Select Provider section.

- You will be presented with the "Advanced setup" screen, select Office 365. Outlook will attempt to connect the email address to Microsoft Office 365 service.
- If this process is successful, you will be taken to Fermilab's Single-Sign-On (SSO) page. If so, proceed to the Authentication section.
If the auto detection process fails you will be presented with a "Something went wrong" window. Verify you entered your email address is correct and the follows the format [username]@services.fnal.gov. If it is incorrect, click on the incorrect email to correct the email address. If this process is successful, you will be taken to SSO page, and you may proceed to the Authentication section.
If your email address is correct, please retry. If it continues to fail, please contact the Service Desk.

- For this step, there are two paths that may be presented to you:
- Yubikey - If you have a Yubikey and it is plugged into your computer, you will be presented with a prompt to select your Yubikey certificate. Select the "FERMI Sub CA" certificate and click "OK". You then be presented with the Smart Card window where you enter your Yubikey PIN and click "OK". NOTE: If you do not want to use your Yubikey, click "Cancel" and you will be guided through the RSA process below.
- RSA - If you do not want to use your Yubikey or do not have a Yubikey, you will be prompted to provide an RSA passcode as part of the "Two-Factor Authentication" requirement. Enter your passcode and click "OK". If you are unsure how to generate your passcode, please review "How to use RSA hardware token to generate a passcode" or "How to install and use RSA soft token to generate a passcode".
- Yubikey - If you have a Yubikey and it is plugged into your computer, you will be presented with a prompt to select your Yubikey certificate. Select the "FERMI Sub CA" certificate and click "OK". You then be presented with the Smart Card window where you enter your Yubikey PIN and click "OK". NOTE: If you do not want to use your Yubikey, click "Cancel" and you will be guided through the RSA process below.
- The next windows should confirm that Outlook will add your account. Unselect the "Set up Outlook Mobile on my phone, too" and select "Done".
- Outlook will then begin setting up your email profile.
