Intended for:

 Users who need to configure Outlook to access their Fermilab email on a Windows PC.


Scenario/Use case:

This article provides instructions on how to configure Outlook to access your Fermilab email on a Microsoft Windows PC.


Instructions:

Configuring Outlook for the first time.

NOTE:
--- If you are not presented with the configuration window, please refer to section "Adding account to Outlook".
--- If Outlook cannot connect your email using the automatic set up method, please refer to the section "Configuring or adding email account".

    1. Launch Outlook.  You should be presented the configuration window. 
    2. Enter your Fermilab email address (i.e., [USER]@services.fnal.gov), and select "Connect".


    3. Ensure the username field is correct (i.e., [USER]@services.fnal.gov) and change it, if necessary.  Then enter your Services password then click "OK".


      NOTE: If you are offsite and not connected to Fermilab's VPN, you may be prompted to provide an RSA passcode as part of the "Two-Factor Authentication" requirement.  Enter your passcode and click "OK". If you are unsure how to generate your passcode, please review "How to use RSA hardware token to generate a passcode" or "How to install and use RSA soft token to generate a passcode".


 

  1. Ensure the "Set up Outlook Mobile on my phone, too" is NOT checked and then click "Done".

 

Adding another email account.

  1. On the menu, select "File".


  2. Select "Account Settings" and then "Account Settings" again.


  3. Select "New…"


  4. Enter your Fermilab email address (i.e., [USER]@services.fnal.gov), and select "Connect".


  5. Ensure the username field is correct (i.e., [USER]@services.fnal.gov) and change it, if necessary.  Then enter your Services password then click "OK".


    NOTE: If you are offsite and not connected to Fermilab's VPN, you may be prompted to provide an RSA passcode as part of the "Two-Factor Authentication" requirement.  Enter your passcode and click "OK".


  6. Click "Done".

 

Configuring or adding email account (manual setup)

It is assumed that Outlook failed to connect your email using the automatic set up method and you are sitting at the configuration window.

    1. Enter your Fermilab email address (i.e., [USER]@services.fnal.gov), click on "Advanced option", select "Let me set up my account manually", and then select "Connect".


    2. Outlook will ask Select "Office 365". 


      Outlook will attempt to automatically connect your email address.


    3. Ensure the username field is correct (i.e., [USER]@services.fnal.gov) and change it, if necessary.  Then enter your Services password then click "OK".


      NOTE: If you are offsite and not connected to Fermilab's VPN, you may be prompted to provide an RSA passcode as part of the "Two-Factor Authentication" requirement.  Enter your passcode and click "OK".


    4. Select "Next".


    5. Ensure the "Set up Outlook Mobile on my phone, too" is NOT checked and then click "Done".
